BOARD MEETING

local committee.
1. Apologies for absence Crispian Scully was not able to attend for previous clinical commitments.
2. Zagreb Biennial Meeting IA updated the Board on the meeting organization. All of the plenary
speakers have accepted their invitations to participate to the meeting, and the plenary
programme is complete. The organisation of the session mainly dedicated to Croatian non-
specialist colleagues is not as advanced, although EAOM members who were to be invited to
lecture in these sessions will be contacted within the next month. The Local Committee and the
President of the Scientific Committee (MJ) are working to prepare detailed instruction for abstract
submission, for transparent referee review and for EAOM prizes. The final budget of the meeting
could be about 100,000 Euros, although a definitive estimate is still due. The 2nd announcement
is expected by the end of November.
3. The next Biennial Meeting. The Board approved the letter inviting candidates for the 2008
EAOM Meeting (see Appendix 1) and the application form (see Appendix 2), that will be sent
through Euroralmed. A decision on the venue of 2008 meeting is expected by the end of January
2006.
4. Zagreb elections GL informed the Board that during the Zagreb meeting the following
appointments will become vacant: President Elect, Secretary, and the Regional Representatives.
As specified in the Constitution, it is the faculty of the Board to renew the Regional
Representatives for another term. For this reason it was decided that such positions will be
renewed for further two years, unless some of the Regional Representatives prefer to resign or in
case of serious impediments. For the other two positions the whole membership will be asked for
nominations through Euroralmed and, according to JBM proposal, sending them a flyer by normal
mail (possibly together with Zagreb meeting information).

5. The new web site. GL presented the data regarding the activity of the new web site (see
Appendix 3). Because of the high annual cost of the of the site (1960 euros TAH) , SRP asked
the Secretary to report about the activity of the site during every Board Meeting. In addition AC
encouraged all Board members to actively participate to the web site activity and to suggest any
improvements they consider useful. In addition AC formally thanked MJ and Jose Bagan for their
work as editors of two new sections of the web site.
6. The old web site. As the old versions of the web site is no more update, but it is still functional,
the Board decided to ask to the web-master of the Eastman Dental Institute to switch it off and to
redirect any visitor to the new address. SP will discuss such issue with the staff of the Eastman.
7. Constitutional changes The Board approved the proposal of Crispian Scully, to prepare a
Constitutional modification, to submit to the General Assembly for approval, introducing the Probi
viri group, i.e. a group of experienced EAOM members, that must deal with problems amongst
members, between members and the Society, and in case of different interpretations of the
Society rules. A further modification will be prepared, regarding the rules to renew the Regional
Representatives, that at the moment are renewed by the Board (see Constitution, article 5.c)
8. Financial issues TH reported that the money from KCL had been transferred to the UCL
account. At the moment EAOM has a positive balance of about £24.000. In addition TH
informed that, as previously agreed, EAOM will support 5 young EAOM members with individual
bursaries to attend the Zagreb meeting. At the moment no information on the Istanbul meeting
balance has been forwarded to the treasurer or other Board member.
9. Other items The whole Board agreed the regular participation of all Regional Representatives at
meetings was important. To this end any board member repeatedly failing to send apologies to
the secretary would be approached informally by the President to encourage their participation. If
this failed a formal request would then be issued by the president on behalf of the Board. Failure
to respond to this would lead to the members of the affected Region being ask to re-elect their
representative.
10. Next Board meeting. The next meeting will be organised in the second half of December.

Appendix 1
Dear Colleagues,
As the method used for the selection of the 2006 Meeting worked so well, the Board decided to
select the venue of the 2008 Meeting, using a similar process.
To propose a nomination, a single member or a group of colleagues who wish to organise the
2008 EAOM meeting, must fill in the form that the Board prepared and that you find attached to
the present email. Than the proposer(s) must send the form to the respective Regional
Representative, who will select one candidate, among those of the Region, to submit to the
Board for the final decision.
Please note that all the candidatures for 2008 meeting should reach the Regional
Representative before 1 January 2006, including those from colleagues who previously applied
for previous edition or directly to the Board and/or Secretary.
